Receipt validation
20,000 receipts. You don't need to check them manually.
Recefly reads every receipt, checks it against your mechanic, and gives the participant an answer in seconds. Your team only sees the receipts that need a person.
Definition
What is automated receipt validation?
Automated receipt validation means reading a photographed receipt (with OCR: the retailer, store, date, receipt number, total, and each product) and checking it against the campaign's rules: allowed retailers, eligible products, minimum value, and campaign dates. Receipts that meet the rules are approved automatically. Receipts that break them are rejected with a reason. Anything the system can't decide with confidence goes to a person, with the data already filled in, instead of being guessed.

Every receipt, read into data
Each uploaded receipt becomes structured data: retailer, store and city, date and time, receipt number, total, currency, and every product with its category.
- Works with a photo from any phone, no scanner
- Reads each product line, so you know what was actually bought
- The original text is kept for the receipts a person reviews
Rules that match your mechanic
Each campaign has its own rules. Every receipt is checked against them the same way, every time, with no difference between reviewers.
- Allowed retailers and specific stores (Carrefour, Kaufland, Lidl, Mega Image, Profi, and more)
- Minimum receipt total and minimum value of qualifying products
- Required products or brands on the receipt
- Campaign dates and entry limits per person, per day, or per week
An answer in seconds
The participant uploads the receipt first and sees the result straight away, then fills in their details. Clear messages tell them what to fix: fewer support emails, fewer abandoned entries.
- Your own message for each rejection reason
- Edits the participant makes to the data read from the receipt are tracked and flagged
- Built for mobile, for the moment they leave the store
A person where it matters
Receipts that need judgment go to a review queue instead of blocking the flow. Reviewers see the receipt, the data read from it, and the rule results side by side.
- A "needs review" status for borderline receipts
- Manual decisions require a reason and are logged
- Reviewer roles per campaign, for the brand or agency team

Frequently asked questions
What teams ask before their first campaign on Recefly.
Most receipts are decided automatically, without anyone looking at them. Recefly reads the retailer, store, date, receipt number, total, and products, then checks all of it against your rules. Receipts it isn't sure about (blurry photos, torn receipts, unusual formats) aren't silently rejected: they go to a review queue with the data already filled in, so a person decides quickly. How many are decided automatically depends on the retailers, the mechanic, and photo quality. We can show it on your own data in the demo.
All major Romanian chains work out of the box: Carrefour, Kaufland, Auchan, Lidl, Mega Image, Profi, Penny, Cora, Selgros, Metro, and more. Each campaign sets its own list of allowed retailers, down to specific stores.
Yes. Recefly reads each product line, so the rules can require specific products or brands, a minimum number of qualifying products, or a minimum value of qualifying products.
The participant is told straight away, and specifically, to retake the photo. Receipts that can be read but need judgment go to the review queue, where your team sees the image and the data side by side.
